THANK YOU BUSINESS LICENSEES !!

Business license renewals were due by MARCH 1. As you know, in our continuing effort to save Citizens and the County time & money, the 2012 business license renewal application and accompanying forms were not automatically mailed to businesses. Rather, businesses were mailed a notification letter with individualized account information and online renewal & payment instructions.

For most businesses, renewing a license online meant filling in ONLY: email address, business name, account number, gross receipts amount, and filer contact information. Contactors had to also provide worker's comp and State licensing information. We are excited to report that our encouragement for business licensees to renew online yielded approximately 2405 online filers out of a total of approximately 3325 business accounts who filed for a 2012 license renewal by the due date. Ellen Murphy (the Commissioner), Bev Rosato (the Business Division Administrator), and the staff greatly appreciate this tremendous result.

Payment for your renewed business license is due on or before APRIL 2. Payments can be made online via www.fredtax.com, in person at the Treasurer's office, or by mail to the Treasurer. You cannot pay for your business license renewal until you have first filed your renewal application.

Filing of your annual Tangible Personal Property Return for Business Equipment, Manufacturers (M&T), and Processors is due on or before MARCH 15 (Forms 762B, 762M, 762P - online or printable at www.frederickcountyva.gov/biztax). If your Business Equipment tax return was filed online last year, all of the information on your filing, including the list of equipment, will automatically appear as previously provided when you go online this year. You need only to review it, make any changes if necessary, and submit it online again - simple and quick as a click.

Online Renewal of Frederick County Business License
Renewal Filing Deadline: March 1 Payment Due: April 1
Instructions: You can print the below instructions to assist you in the step-by-step Online Renewal process by clicking on the button to the right.

You must submit your renewal application first in order to pay for your business license.

Frederick County Contractors BEFORE beginning the Online Renewal Application process, Frederick County Contractors who worked in other jurisdictions must either: (1) already have calculated their Total Frederick County Gross Receipts (calculated by the difference from subtracting the Non-Frederick County Receipts from the Total Gross Receipts), or (2) first complete the "Gross Receipts Calculation Form" to calculate this amount.
All Businesses

All businesses filing online must complete and submit at least the "Online Renewal Application." When you click "Online Renewal Application" button at the end below, the screen will prompt you to:

  1. Read and acknowledge your agreement to the Disclaimer Statement by clicking "I Accept these terms."
  2. Enter email address and click "OK".
  3. Select "Renew/Add License Type."
  4. Select as your Search Type either "Account Number" or "PIN." You will have to create a PIN if you have not already done so.
  5. If renewing by Account Number, next to "Last Name/Business Name," you will need to enter your business name. It must be typed in to exactly match the County's records. For example, only use punctuation like commas, spaces, and periods if they appear in your business name (Photographs 'R Us Inc.) or use the word "and" rather than the symbol "&" if that is exactly how it appears. This is the name as it appears on your current license which could be your last name or the name your business is trading as.

  6. Enter your "Account Number." The Account Number appears on the top left portion of your license and is also listed on the letter mailed to businesses regarding the renewal process. Click the "Continue" button. Acknowledge the warning regarding Gross Receipts by clicking "OK."
  7. Gross Receipts amounts must be entered without a dollar sign ($) and must be entered as a rounded whole number without a decimal point or cents. For example, enter 4321 rather than $4,320.85. Enter 0, for zero dollars.
  8. All businesses must enter your Actual Gross Receipts from January 2011 through December 2011 (separately for each category of business, if more than one).
  9. Those in business for less than one (1) year and out-of-jurisdiction contractors will be prompted to enter your Estimated Gross Receipts for 2012 as well.
  10. Click on "Calculate Tax" button.
  11. Acknowledge the notification that you will have to press the "Submit Application" button to complete this process by clicking "OK."
  12. Review the amounts and, if correct, click the "Submit Application" button. If incorrect, click on "Previous" and re-enter the amounts.
  13. Acknowledge the notification that you will need to re-check the amounts on the screen prior to submitting by clicking "OK."
  14. Re-verify the amounts and click the "Submit Application" button again.
  15. Filers must be authorized by the Business/Company to sign and submit the renewal application on its behalf. Enter the online filer information (your name, title, email address, and 10-digit daytime phone no.) and click "Continue" button
  16. You should now receive confirmation that your Application has been submitted.
  17. A copy of this filing will not be mailed to you. Click where indicated to print a copy of the Renewal Application for your files. Since the Renewal Application will automatically be transmitted to the Business Division, please do not send us a copy of your receipt/form.
  18. On the "Submission Confirmation" (last) page, there is a list of additional forms/information needed by various specific types of businesses. Print this page to keep a list of the forms by category (also listed below). Click where indicated to go to the websitepage that contains the links to each form or go to www.frederickcounty.gov/biztax. Select and complete each and every form that is applicable to your business.

    Example, a Frederick County Class A Electrical Contractor with Business Equipment might need to complete: the Renewal Application, the Worker's Compensation form, the Virginia State Contractor License Information, the Virginia Tradesman License Information, the Subcontractor Request form, the Gross Receipts Calculation form, and the Business Equipment Form 762B.

    If you cannot return to the application page, go to www.frederickcounva.gov/biztax where all forms are available for on-line completion and submission.
  19. You must submit your application first in order to pay for your business license. Select "Online Payment" to make payment now by check or credit card, or payment can be made in person at the Treasurer's Office (107 North Kent Street), or by mail (payable and sent to: Treasurer, PO Box 220, Winchester VA 22604), or by going online later to: www.frederickcountyva.gov and selecting "Tax Payments," then "Other Taxes," then "Business License" and following the screen prompts.
  20. Once your online Business License Renewal Application and accompanying forms have been received, reviewed, and approved as well as your payment confirmed, the Business Division will issue and mail to you your actual Business License.
